On afternoon Maryam from HR gave me task which is entering the information of Training Plan 2010 in Excel. I didn’t finish yet it full of training courses providing for the employees and I finished it at the end of the day.

This is beginning of week 7 just 2 weeks left for the final presentation.
Today I don’t have more work to do I worked on C.Vs classifying them on the file according to major and I finished all C.V they have. Also, Mona asked me to format the “EIAST purchases producers Manual” documents and change the font style. Also, I make for an automatic table of contact for the document which the report didn’t have before and Mona liked the new formatting for the document.
Moreover, I sat in the reception for two hour because Bushra was late little bet and I was answering the calls and converting calls to each departments or the responsible. I found this job easy for me and I liked it.

Also, Mona asked me to give them all files that I worked on with Visio because they want to use if they have any changing because now they are applying Microsoft Office Visio. I felt happy that I did something great in the institution.
I went to Mona talking with her about my mentor Mr. Tridib visit to the institution for next weeks and I want to make an appointment with her according to the available timings for my mentor displaying in the his calendar. She said it will be fine to meet her on Wednesday, 19 May, 2010 at 11:00 am then I booked in his calendar informing him about the meeting date and day.

At 1:00 pm i conducted the second face-to-face interview with Eng.Adnan Mohammed AlRais an Associate Researcher and Team Leader in Space Program. The interview was great and he responsive with me. When I completed the interview then I got his business card.
After I came to my desk I wrote a thank you email and I send it to him :)

Also, I worked with Mariam the Accountant with payment voucher first I was noticed how she work then I started helping her, after that she left me work alone. I was searching the number of PV between files then scan the invoice.
Moreover, ma and Mona discussed the “Step for Petty Cash Purchase Reimbursement Procedures” and she asked me to draw a flow chart for the steps because I have the Microsoft Office Visio and the computers at institution don’t apply this software. I suggest to them to apply this useful software which will help them in many things such as creating organization chart, flow chart and location map.

At 12 pm I conducted the first face-to-face interview with Huda Mohd Sultan Al Awais an IT Support Engineer in IT department. I liked the interview she was helpful and responsive with me. Finally, I completed the interview then i got her business card.

Week 5, Thursday
Another work I had today Mona asked me to find a university or college in the country has the Media and applied communication and she wants the new graduates for this semester. I had the same duty before and I found it easy this time so I started searched and the result was UAE University, Sharjah University, DWC, DMC and SHWC. Then I started calling them to take the details. After that I wrote the formal letter to the directors of the Universities and colleges then I showed it to Mona for the double check. Then I printed and gave it to Mona for signature and stamp. Finally, I sent it to Universities and colleges by fax and waiting for replying. DONE J
At the end of the day, I sent an email for the interviewees that I conduct to interview them asking them for half hours from their time next week to conduct an interview which is part of my project and all information that I will gather will be for an academic purposes and I will check for replying on Sunday.
For My weekend I will prepare the questions for the interviews.

Week 5, Wednesday
I started this day working on Maryam task that she gave it to me yesterday. I started with the file “Official and training functions for ESRC” the Emirates Scientific Research Center department. For this I have to use Excel and draw table for each employee trips in this department contains Name, Period, trip type and trip details. This file includes trips in years 2010, 2009, 2008 and 2007. I was asking Maryam for any issue or question and I finished the whole file at 1 pm.
I went to my supervisor Mona talking with her about the interviews that I have to conduct during my work placement at the institution which will be for the next week and she approved for that.
Maitha the Head of Accounts asked me to type for her 4 pages on the Word because she was very busy. I typed for her and double checked the spelling and grammars then I send it to her email. She appreciated for that and she said “You are super trainee”. I felt very happy and she motivated me to push up on my work placement.
Today I had a lot of work although I was sick :”(

Week 5, Tuesday
From morning I completed designing the rest forms, Mona came and had a look and she liked the new version for the forms. Some names of forms that I did today Manual Revision Proposal Form, Business Information Declaration Form, Request for Temporary Employment Form, Probation Period Extension Form, Training Nomination Form and Request for Overseas Training Form ect. Then I put all forms in one documents with name “HR Forms New Version” and gave it to her by USP.
Maryam the HR and training administrator came to me and told me about the new system called “HR M” that they will apply it in the institution this week and for last two weeks she had training in the institution on this system. She explained for me briefly about this system function and for working on it they have to enter data as an excel documents. So she asked me to enter all information and data from the files to excel. She said that they have a lot of files and she wants me to work on it as I can. I understood what she explained for me and I will start on this task tomorrow morning inshallah.
Problems that I face:
· All forms needs a radical change and I have to redesigning it from the beginning.
· It took from me more time because it 45 forms.
I gained the following:
- Enhancing my hard skill such as using tables for forms.

Week 5, Monday
I worked until 1:30 and I finished 35 forms then I took break for praying. After that I returned to complete but Maitha the head of Accountant asked me to make scan for vouchers and stabled it with quotation for each company. I did around 20 vouchers and I put it in its file.
Finally, finished the working time and I will finish the rest forms tomorrow and I will give it to Mona for checking.
I gained the following:

I told Mona that I forgot my laptop charger, she told me to ask my personal driver to bring it but he was not available that time then she told me to use the institution’s driver to bring the charger. I want with him with one of the employee called Fatma.
Then I started formatting the forms and I showed it to Mona and she liked the new version that I made and continued the rest of forms at the end of working hour and I will complete it tomorrow inshallah.

The Doctor gave me sick leave for today but I went directly to the institution and I gave her the paper to prove that I was with the doctor and the sick leave but I told her I will stay.
Mona asked me to make some changing in the organization chart that I created for the institution because new employee joining the institution. Also, I did some formatting and coloring the chart because they will use the chart officially in the institution and Dubai government.
At the afternoon, I received the fax from UAE University with the list of student name that we asked them to provide and I gave it to Mona who appreciated my job.

Another task, she asked me to make labels for the different disciplines such as Electrical and Electronic Engineering, electronics Engineering, Business and Technology, HR, Accounting, Information Technology, Science Degree in Physics, Chemistry, Public Relation, High school for classifying the C.Vs they have. Then I created the file for that with the labels and I started classifying more than 150 C.Vs according to their major.
Another task, I finished classifying the Employee Holiday’s file which contain Annual Leave, Sick Leave, Special Leave, Bereavement Leave, Maternity Leave, Unpaid Leave, for each employee.
At the end of the day, I gave Maryam the all files she asked me to create and she appreciated the hard work I did.

Week 4, Monday
1. I started searching and I found 5 universities and colleges.
2. I checked in the Ministry of Higher Education & Scientific Research in Licensed Institutions section if these universities and colleges are recognized or not. One of them was not.
3. I make a table in Microsoft Word with colleges name, contact person, Telephone number, Fax number and email.
4. Then I started calling them to take the details up.
5. I found that 2 of the university are new and they accepted to graduates its students after 3 of 4 years.
6. Stayed two which are Sharjah University and Emirates University.
7. After that I wrote the formal letter to the directors of the Universities then I showed it to Mona for the Duble check and she corrected one mistake
8. Then I printed and gave it to Mona for signature and seal.
9. Finally, I sent it to Universities by fax and waiting for replying.
Done with this task :)
Another task, Mona gave me to type the Master copy documentation control form and design it before the meeting the managers of the institution.
For today I learned:
· To be serious.
· Be patient.
· Quick learning
· Writing formal letters
· Sending professional fax.
· Making phone to the Universities and colleges.
· Enhance Research skill.
· Communication skill.
Challenges:
· Doing this task alone.
· Some Universities and colleges don’t answer and I have to re call them more than one time.

Week 4, Sunday
· Analyze and review expenditures and budgets of the institution.
· Monitor and review accounting and related system reports for accuracy.
· Supervise the input and handling of financial data and reports for the company's.
I noticed that her a little bit complicated because I don’t like thinks related to the finance that much.
Also, I worked with Iman an Administrative Assistant helping her with (LPO) Local Purchase order, with Iman I found myself able to do her work and I learnt the nature of her work quickly.
In afternoon, I took the permission from my supervisor Mona to take a tour in the institution to identify to the staff sections which will help me in my interview and I met
Huda Mohd Sultan AlAwais an IT Support Engineer in IT department.
Noura Ibrahim Ahmed ALMuhassin an Assistant Researcher in Emirates Scientific Research Center (ESRC) department.
Eng.Ali Rashed AlSuwaidi an Associate Researcher in Space Programe department
They were very kind with me and helpful also they gave me a simple overview of nature of their work.

Week 3, Tuesday, Wednesday and Thursday
Also, I helped the accountants in filing the invoices after taking the seal of the general manager. Moreover, I worked with the head of Accounting in entering data and some accounts and I learned how to use their system.
All in all, for the whole week I learned many things:
- Using the accounting system simply.
- Phoning big companies.
- Doing some admin duties such as sealing after checking with manager.
- Writing professional letters.
- Knowing many human resource activities such as employment and placement, compensation and benefits, training and development, or labor relations.
- Gaining many skills such as Organizing skill, planning, using Microsoft office features, creative and planning.

Week 3, Sunday and Monday

I started to d it by hand to make it easy, firstly I was using Microsoft word but it didn’t help me then I used Microsoft office Visio which help me very much to design the chart. I did the first draft then Mona did some changing then I redraw it which takes more time to do it. Then I submit to her. Also, she asked me to design another one for the department only and I designed it as she want. I was very happy because I am the first who design the organization chart for the institution and I am waiting for the Director General's response on the designing.

Week 2 Wednesday
· I completed entering the details and information for the (LPO) Local Purchase Order.
· Preparing some necessary papers and I checked the spelling mistake.
· Formatting the Staff Undertaking and made some changing.
· Formatting the Staff Details Form and made some changing.
· Emailing Kotra Company in Korea.
After that my mentor Mr. Tridib called me and he was on the way to the institution. He reached at 1:15 pm I welcomed him and took him to my supervisor. Then he talked with me about the work placement and how I am doing at the institution and what the problems I faced.

Week 2, Monday
From morning I started working with accounting department they give a big task to do which is classifying the files for CVJ and I have to put each invoice with the photocopy of the purchase and stapler it together according to the voucher number. I did for around 90 invoice, it was little bit complicate but I got used to it and I finished it in two and half hours however they gave me a whole day to done with it. Aysha and Mariya were very happy to help them in their work.
Also, it this day which was the celebration for deigning of Dubai Government Excellence Program and all administrated of the institution attended the deigning including my supervisor Mona.
Afternoon I received an email for my mentor Mr. Tridib that he has another appointment at 11:00 on April 13 unfortunately and alternatively he will be free after 1:30 pm on Wednesday. Then I talked with my supervisor to rearrange the meeting to be on Wednesday, 14 April, 2010 at 01:30 pm and she said it is okay with her also and I confirmed to Mr. Tridib and I send him a location map for the institution that I created by myself.

Week 2 Sunday
Moreover, Maryam form HR department gave me a huge task which is creating a new file for the staff leaves classifying the file into units for each employee which around 47 employee. I took 3 hours organized this file with some back pain. Maryam appreciate this job because she gave me two days to finish this file but I pressed on myself to finish it earlier. Then she gave me a break for the afternoon.
For today I gained and learned the following:
· Organizing skill
· Patience.
· English skills such as enhance all skills: listening, reading, writing, speaking
· Research skills
Also, I talked with my supervisor about my mentor Mr. Tridib visit to the institution this week to make an appointment with her according to the available timings for my mentor. She said it will be fine to meet her on Tuesday, 13 April, 2010 at 11:00 am and I sent an email to Mr. Tridib to inform him about the meeting date and day and I am waiting him for replying.

Week 1, Wednesday and Thursday
Tasks I did with HR department:
· Filling the training confirming form for 15 employees.
· Filling Return Form Leave Application for 27 employees.
· Editing some word documents for the institution.
· Editing some Excel documents for the employees.
· Creating some documents called label for the files.
· Filing the leaves for the employees
· Helping in preparing for some events.
I felt this day was full of works however Maryam and Eman was very happy for helping them and doing all these tasks and they said that I as fast learner. These words encouraged me to do more and achieve my goals in this work experience.
However, when the works increase my skills also increase such as improving my planning skill, management skill, and communication.Moreover, other hard skills increased such as sending functional letters and emails, and sending faxes.
Week 1 was an orientation week to describe the work area and clarify the nature of the work for ma as a trainee in each department in the institution.

Another task:
Maryam the HR and training administrator gave me the forms for the course booking for some employees and I filled them. Also, she gave me necessary papers for the HR department for checking spilling mistakes and submitted to her and I did good job on this as she said.
Moreover, I sat with the magazine organizers they were set the topics for the articles and I participate with them and gave them some ideas and suggestions. They accepted on my topic and they appreciate my participation. I really felt happy at this moment.
In afternoon, I sat with the accountants Aysha and Mariam who showed me how to transfer the account for their employees form bank to other. Also, they showed me the calculation for some employees’ accounts and the most time I observed their work with asking for any queries.
For these weeks the most time I will be observing and learning the nature of their works with doing duties and tasks that they want and providing the help for the employee.
For today I gained and learned the following:
· Improve business communication skill such as write emails for work, sending professional faxes and making telephone calls.
· Improve Research skills enhancing research skills and improving technical skills.
· Learning fast.
· Filling forms for courses.
· Improving critical thinking.

Week 1, Monday
I started this day working on the online magazine for the institution that Ms Mone gave it to me I helped Eman in designing and choosing the colors. Also, I chose some topics for some articles in the magazine and they accepted.
From 11:00 to 01:00 I worked with Maryam. She explained some tasks for me and answered all my questions patiently.
Tasks that Maryam gave it to me are:
· I did conforming forms for the employees.
· I filled the course booking forms for the participated employee in the courses.
· She gave me list of companies’ numbers and she want from me to call them and ask if they provide the ISO 17025 training course. I called them all and I emailed the company who provide this course.
· Helping Maryam in preparing some necessary papers.
I learned the following:
· Filing and general administration tasks.
· Filling the institution forms for the employee.
· Phoning other companies.
· Enhance some business communication skill such as writing communication, writing emails for work and making telephone calls.
Around 1:30 pm I talked with Ms Mona discussing the work plan for the next weeks. After that I sat with accounting department employee and observing them when they are working together and calculating then I started asking some question.

Day 1 .. Let's go
In the first day I got to the Institution at 7:20 and I waited for 10 minutes until the electronic door opened. Then I went straight to my supervisor’s office. She is called Mona Ahmed AL Qemzi director of Financial & Administration Affairs.
Ms. Mona gave me a short introduction about the organization and the nature of the work in the institution. Then she took me around the institution and introduced me to the employees, after that she took me to my small disk provided with all office staff plus new Dell laptop and printer next to my disk. Also, she sent a circular letter to all institution staff about me as a new trainee in the institution. Then someone from IT department came to me to setup the printer and Microsoft office Outlook to send and receive emails in EIAST though my email trainee1@eiast.ae.
I asked Ms. Mona for the work plan that I need for the work placement and she said that she will prepared within this week. Also, I asked her when she will be free next week because she needs to meet with my mentor Mr. Tridib Chatterji during the second week of WE and I showed her the available timing for my mentor to make an appointment. She said that she will check her schedule and will reply me.
The employees that I will be working with during the next 4 weeks are Eman and Maryaim from HR department and they were students from DWC. I felt they were very helpful individuals that enjoy explaining the different aspects of the work.
For the first duty they sent me all forms for the institution and I have to change the old logo with the new one and check the spelling and grammar mistakes. Also, at 12 o’clock the Financial & Administration department had a meeting Ms Mona invites me to the meeting to participate with them to choose the best name for the online magazine that they want to publish at the end of this month. I participated with them and Ms Mona was happy for that.
At the end of the day I helped Eman and Maryaim sort the receipts of the purchases and at 2:30 pm I left the institution with the employees and I felt happy from the first day J Thank God..
