Week 1, Wednesday and Thursday

For the fourth and fifth day I worked mostly with HR department and had same tasks with Maryam and Eman. Firstly, I observed their work then I got used to do the same such as filling forms for the employees, phoning the companies and others duties.

Tasks I did with HR department:
· Filling the training confirming form for 15 employees.
· Filling Return Form Leave Application for 27 employees.
· Editing some word documents for the institution.
· Editing some Excel documents for the employees.
· Creating some documents called label for the files.
· Filing the leaves for the employees
· Helping in preparing for some events.
I felt this day was full of works however Maryam and Eman was very happy for helping them and doing all these tasks and they said that I as fast learner. These words encouraged me to do more and achieve my goals in this work experience.
However, when the works increase my skills also increase such as improving my planning skill, management skill, and communication.Moreover, other hard skills increased such as sending functional letters and emails, and sending faxes.
Week 1 was an orientation week to describe the work area and clarify the nature of the work for ma as a trainee in each department in the institution.

Week 1, Tuesday

In this day the works was more than two days left, from the morning Eman the administrative assistant gave a task which was searching of five companies in Dubai offering landscaping because they want to design the garden outside in EIAST. I started searching in http://www.yellowpages.ae/ website which is as online business telephone directory with local business listings, phone numbers & classifieds. Then I chose 5 companions in Dubai after visiting their websites and had I look on their services and offers and I listed this phone numbers, fax and emails. After that I started phoning them directly all of them and I asked them to visit us in the intuition next week if it is possible and some of them contacted with me emails and other by fax to send the location map.
Another task:
Maryam the HR and training administrator gave me the forms for the course booking for some employees and I filled them. Also, she gave me necessary papers for the HR department for checking spilling mistakes and submitted to her and I did good job on this as she said.
Moreover, I sat with the magazine organizers they were set the topics for the articles and I participate with them and gave them some ideas and suggestions. They accepted on my topic and they appreciate my participation. I really felt happy at this moment.
In afternoon, I sat with the accountants Aysha and Mariam who showed me how to transfer the account for their employees form bank to other. Also, they showed me the calculation for some employees’ accounts and the most time I observed their work with asking for any queries.
For these weeks the most time I will be observing and learning the nature of their works with doing duties and tasks that they want and providing the help for the employee.

For today I gained and learned the following:
· Improve business communication skill such as write emails for work, sending professional faxes and making telephone calls.
· Improve Research skills enhancing research skills and improving technical skills.
· Learning fast.
· Filling forms for courses.
· Improving critical thinking.

Week 1, Monday

I started this day working on the online magazine for the institution that Ms Mone gave it to me I helped Eman in designing and choosing the colors. Also, I chose some topics for some articles in the magazine and they accepted.
From 11:00 to 01:00 I worked with Maryam. She explained some tasks for me and answered all my questions patiently.

Tasks that Maryam gave it to me are:
· I did conforming forms for the employees.
· I filled the course booking forms for the participated employee in the courses.
· She gave me list of companies’ numbers and she want from me to call them and ask if they provide the ISO 17025 training course. I called them all and I emailed the company who provide this course.
· Helping Maryam in preparing some necessary papers.


I learned the following:
· Filing and general administration tasks.
· Filling the institution forms for the employee.
· Phoning other companies.
· Enhance some business communication skill such as writing communication, writing emails for work and making telephone calls.
Around 1:30 pm I talked with Ms Mona discussing the work plan for the next weeks. After that I sat with accounting department employee and observing them when they are working together and calculating then I started asking some question.

Day 1 .. Let's go

In the first day I got to the Institution at 7:20 and I waited for 10 minutes until the electronic door opened. Then I went straight to my supervisor’s office. She is called Mona Ahmed AL Qemzi director of Financial & Administration Affairs.
Ms. Mona gave me a short introduction about the organization and the nature of the work in the institution. Then she took me around the institution and introduced me to the employees, after that she took me to my small disk provided with all office staff plus new Dell laptop and printer next to my disk. Also, she sent a circular letter to all institution staff about me as a new trainee in the institution. Then someone from IT department came to me to setup the printer and Microsoft office Outlook to send and receive emails in EIAST though my email trainee1@eiast.ae.
I asked Ms. Mona for the work plan that I need for the work placement and she said that she will prepared within this week. Also, I asked her when she will be free next week because she needs to meet with my mentor Mr. Tridib Chatterji during the second week of WE and I showed her the available timing for my mentor to make an appointment. She said that she will check her schedule and will reply me.
The employees that I will be working with during the next 4 weeks are Eman and Maryaim from HR department and they were students from DWC. I felt they were very helpful individuals that enjoy explaining the different aspects of the work.
For the first duty they sent me all forms for the institution and I have to change the old logo with the new one and check the spelling and grammar mistakes. Also, at 12 o’clock the Financial & Administration department had a meeting Ms Mona invites me to the meeting to participate with them to choose the best name for the online magazine that they want to publish at the end of this month. I participated with them and Ms Mona was happy for that.
At the end of the day I helped Eman and Maryaim sort the receipts of the purchases and at 2:30 pm I left the institution with the employees and I felt happy from the first day J Thank God..
